For the person choosing a first improvement: look for work that repeats, matters and has a clear owner. These six patterns help you spot it.

The useful starting point is smaller than “transform the business” and more consequential than “try a chatbot.” It is a responsibility: a repeatable piece of work with real inputs, a quality bar, exceptions, a person who owns the result, and an outcome somebody cares about.

The unit of leverage is the workflow.

Start with one valuable flow of work. Use current AI to discover what can change. Keep useful systems and drive them when the handoff is the problem; replace only the weak link when the interface is the problem. Put stable rules into ordinary software, keep interpretation where it helps, and keep human authority where consequence lives. Then measure the result and compound what works.

First, make the work legible.

Before choosing a model, vendor, or automation platform, take one responsibility and answer seven plain questions:

  1. Outcome: What useful result must exist at the end?
  2. Owner: Who is accountable for that result?
  3. Inputs: Which systems, documents, messages, and people provide the truth?
  4. Stable rules: Which steps should behave the same way every time?
  5. Judgment: Where does interpretation, taste, or domain experience matter?
  6. Exceptions: What makes a case leave the normal path?
  7. Proof: How will you know the new workflow is faster, better, safer, or more capable?

Those answers reveal whether the first move is better practice, clearer context, an integration, deterministic software, a bounded agent, or some combination. “AI” is a mechanism inside the answer, not the brief.

01

Operations and handoffs

Turn fragmented activity into one controlled flow.

Operational work often looks organized inside each app and chaotic between them. A transaction may begin in email, acquire data in a CRM, collect documents in a shared drive, depend on a spreadsheet, wait for an approval in chat, and require someone to reconstruct status for everyone else.

Illustrative pattern

A hard-money lending transaction team receives deal information from several sources, checks completeness, manages conditions, coordinates approvals, and prepares a closing package. The opportunity is not “an AI loan officer.” It is a visible path with one source of status, deterministic completeness checks, a bounded exception queue, and explicit approval.

Try this week

Trace one live transaction from first intake through final handoff. Mark every place information is re-entered, somebody waits, status is manually summarized, or an exception jumps into a private message.

02

Packages and client delivery

Make excellent delivery repeatable.

Many professional teams are paid for judgment but lose enormous attention to collecting, formatting, checking, and coordinating the artifact that carries that judgment to a client.

Illustrative pattern

A real estate broker assembles property research, disclosures, market data, photographs, correspondence, and a point of view into polished packages for many clients. A stronger system can collect the current sources, flag gaps, assemble the accepted structure, preserve the broker’s voice, route review, and record what was delivered.

Try this week

Choose one package you produce repeatedly. Separate source collection, assembly rules, professional judgment, required checks, approval, and delivery. The separation alone usually exposes the first leverage move.

03

Analysis and decisions

Increase analytical range without obscuring the assumptions.

Frontier models can help a team structure unfamiliar information, investigate more possibilities, challenge a thesis, explain a model, and produce decision-ready writing. The risk is allowing fluent output to sever the line back to sources and assumptions.

Illustrative pattern

A private equity team preparing for fundraising or an investment committee brings together company data, market research, financial models, diligence, scenarios, and narrative. The valuable system makes more analysis possible while keeping every material number, assumption, challenge, and reviewer traceable.

Try this week

Take one upcoming decision. Define its authoritative source set, model assumptions, strongest counterargument, reviewer, and final decision artifact before asking any model to assist.

04

Revenue and relationships

Carry context forward without automating the relationship away.

Fundraising, sales, business development, and client service depend on human attention. They also depend on research, preparation, memory, follow-through, and the ability to put the right information in front of the right person at the right moment.

Illustrative pattern

An advisory firm can connect account history, prior conversations, company events, meeting preparation, commitments, follow-up drafts, and the next action. People still own the relationship and every consequential send; the operating layer keeps useful context from evaporating between meetings.

Try this week

Map one relationship cycle: signal, research, preparation, meeting, commitment, follow-up, and recorded context. Circle every point where the next action currently depends on somebody remembering.

05

Knowledge and customer response

Put trusted answers where the moment requires them.

Companies accumulate more knowledge than people can reliably carry: policies, product details, operating decisions, seasonal changes, incident history, customer context, and the exceptions that experienced staff simply know.

Illustrative pattern

A ski resort changes with weather, events, terrain, staffing, hours, lodging, and seasonal operations. A useful digital layer can connect approved, time-sensitive sources to guest answers and staff handoffs, disclose uncertainty, and escalate exceptions without inventing facts or replacing local authority.

Try this week

Choose one high-volume question. Name its authoritative source, freshness requirement, approved answer, common exceptions, escalation path, and person responsible when the source changes.

06

Software and delivery

Make powerful agents operable, not merely impressive.

Coding and business agents can inspect systems, use tools, make changes, test results, and leave durable work. Their usefulness grows when the surrounding system supplies current context, scoped permissions, a clear job, acceptance checks, evidence, recovery, and a person who owns exceptions.

Illustrative pattern

A software or technology-enabled service can carry a customer issue from conversation through triage, investigation, a bounded change, review, live verification, and an approved response. Speed matters; proof before promise matters more.

Try this week

For one agent task, write down what it may read, what it may change, what it may never send or approve, how it proves completion, and the condition that returns control to a person.

Choose the first workflow by consequence, not novelty.

The best first project is valuable enough to matter and bounded enough to learn from. Score a candidate from one to five on these dimensions:

ValueWould a better result matter to the business or customer?
FrequencyDoes the team perform it often enough for the gain to compound?
FrictionIs attention consumed by waiting, searching, checking, re-entry, or coordination?
LegibilityCan the inputs, rules, exceptions, owner, and output be described?
ReversibilityCan you test safely before granting more consequential authority?

A high total does not prove automation is appropriate. It tells you the workflow deserves a closer operating design. Keep signatures, money movement, legal attestations, external commitments, sensitive access, and irreversible actions behind named human authority.

The practical ambition

Do not ask every employee to “use more AI.” Give each person a way to bring the responsibility they own, understand what newly becomes possible, and build the smallest dependable improvement. One workflow can create capacity. Several durable workflows can change what the company is capable of attempting.
